What made you decide to move to Booking Autopilot?
We were looking for a platform that could simplify bookings, customer communication and day-to-day admin, while still being flexible enough to suit the way our business operates. As a growing children’s activity business with more than 15 locations across the network and also classes in schools, it was important for us to have systems in place that could support both our current needs and future growth, without losing the personal experience we want families to have when interacting with our business.
What challenges were you hoping to solve?
Like many growing children’s activity businesses, a lot of time can disappear into admin, managing customer information manually, organising workshops and sessions, and handling ongoing communication with families. We wanted systems that would help streamline operations, reduce repetitive admin tasks, and create a smoother booking experience for parents from start to finish.
Managing different operational requirements across multiple locations was also an important consideration, so having a platform flexible enough to support variations across the network was a key factor for us.
What stood out about Booking Autopilot?
What stood out was the combination of flexibility, automation and personal support. It felt like a platform designed around real activity-based businesses rather than a generic booking system. Mark and his team also spent time understanding how our business operates and helping configure our terms, workshops and setup in a way that worked best for us, which made the onboarding process feel collaborative and personalised rather than ‘one-size-fits-all’
Another important factor was the platform’s ability to manage different configurations across our network of more than 15 locations. Having systems flexible enough to support variations across locations, while still keeping everything organised and manageable centrally, was a major advantage for us. Mark and his team have always been super-helpful and responsive.
Were there any features or operational benefits that were particularly important?
The flexibility around payment providers was a big advantage for us. Having multiple payment options available gives us more flexibility as a business and the ability to potentially reduce transaction costs over time, which becomes increasingly important as businesses grow.
We also really liked having bookings, communication and customer management integrated into one platform rather than relying on multiple separate systems, which helps create a smoother experience for both our team and our customers.
What are you most excited about moving forward?
“We’re excited about having stronger systems in place to support future growth, while also saving time and improving communication with customers. Having the Booking Autopilot team available to continue helping us refine and configure the platform as needed also gives us confidence that the system can continue evolving alongside the business as the network grows.”
